Verb Tense to be Used in Minutes of the Meetings
In the meeting Bob said "Mr. Smith is the legal advisor of the company".
How to record this in the minutes?
1. Bob said Mr. Smith is the legal advisor of the company.
2. Bob said Mr. Smith was the legal advisor of the company.
Please note that Mr. Smith is legal advisor of at the time of writing of the minutes.

Shafiq,
Your first sentence is correct. Remember, if you are using reported speech, we don't change the tense of the "reported" portion.
